Allen & Allen is seeking a full-time Litigation Practice Adherence Specialist who will report to the firm Legal Support Manager and may be located in any of our Virginia offices (Richmond, Chesterfield, Petersburg, Mechanicsville, Fredericksburg, Stafford or Charlottesville).
The Litigation Practice Adherence Specialist is a full-time, non-exempt position reporting to the Legal Support Manager. This position is ultimately responsible for ensuring a high level of proficiency in the management of cases and ensuring that client files are maintained in accordance with our high internal standards. This position would frequently collaborate with the Training Specialist as well as Attorney teams and management.
Key Responsibilities:
- Conducts all litigation paralegal and legal assistant job specific training.
- Completes all 90-day check-in reviews with new litigation paralegals and legal assistants.
- Regularly meets with new legal litigation paralegals and legal assistants throughout their first two years of employment.
- Maintains a comprehensive case management audit process dedicated to enhancing individual employee proficiency, productivity and client relations skills.
- Spot checks all litigation paralegals and legal assistant's work for accuracy.
- Conducts in-depth audits of individual client case files to ensure adherence to firm practice management policies.
- Collaborates with members of the Operations and Human Resources teams and serves as a Subject Matter Expert on litigation processes, providing targeted, ad hoc training that addresses knowledge and skill deficiencies identified during the audit process.
- Continually seeks ways to improve the quality of service to our clients and advises management of issues and recommended solutions.
- Serves as a resource for employees with questions and concerns regarding case management policy and procedures.
- Maintains and seeks to update and expand knowledge on current business trends and changes in the law as they pertain to the Firm's practice.
- Provides reporting as necessary to the management team and senior leadership.
- Completes other tasks and projects assigned.
Additional Responsibilities:
- Travels to branch offices, as needed, to conduct audit and training meetings.
- Establishes and maintains a collegial and professional working relationship with all management, attorneys and administrative support staff.
Physical and Environmental Requirements:
- Ability to lift 10 pounds unassisted.
- General office environment requires sitting for long periods of time, occasional periods of standing and walking.
- Visual capability to work viewing a computer monitor for several hours of the day.
- The ability to work in an office environment around others.
- The ability to exhibit manual dexterity and use standard office equipment such as phones, keyboards, and copiers for extended periods of time.
Required Skills, Education, and Training:
- GED or High School Diploma.
- Minimum of 10 years of experience as a paralegal or legal assistant, Certification or Degree in Paralegal Studies, or an equivalent combination of skills and experience.
- At least 5 years' experience as Litigation Paralegal or Legal Assistant.
- Strong oral and written communication skills.
- Strong analytical and reporting skills.
- Demonstration of strong knowledge and effective use of the Firm's case management system.
- Demonstrated proficiency with technologies in use at the Firm, including Windows, Microsoft Word, Excel, Outlook, Internet Explorer, and Worldox.
- Demonstrated proficiency with Allen & Allen's case management processes and best practices highly preferred.
