The Practice Coordinator will support lawyers in our Business practice and is responsible for a broad range of administrative duties primarily including document production, organization, research and client support for timekeepers. The ideal candidate will possess strong administrative skills, a positive attitude, take initiative, and be dependable.

This position will require presence in the office at least two days per week pursuant to the firm’s hybrid work policy. Overtime and flexibility in schedule is required from time to time.

Additional responsibilities include but are not limited to:

  • Prepare, edit and proofread a variety of practice area legal documents, e.g. correspondence, agreements, closing packages and documents
  • Maintain calendars to include coordination and scheduling of meetings, conference calls and WebEx, send calendar invites and reminders, reserve conference rooms on-site in firm reservation system and for off-site venues
  • Coordinate travel arrangements with firm’s travel provider 
  • Prepare and process new client/new matter forms (Intapp Open preferred), along with conflicts searches, preparation of engagement letters, and budgets
  • Review and edit pre-bills for submission to billing department and research/identify outstanding invoices and payments
  • Process business expense reimbursements and vendor payments 
  • Maintain organization of client files, including electronic files in the firm’s document management system (iManage)
  • Exercise good judgment and delegate administrative tasks as needed to appropriate firm resources, e.g., Practice Assistants, Global Service Center, Billing, Docketing, etc.; maintain responsibility for and track all delegated activities/tasks/projects to successful completion
  • Interact and follow-up with clients, outside counsel and others, as needed
  • Maintain and update contact lists, create labels and coordinate mailings as directed by timekeepers
  • May assist paralegals and perform some paralegal duties as assigned
  • Assist other practice group support members with overflow work and provide backup support as requested

Qualifications and experience:

  • Minimum of 5 years’ experience performing basic office and clerical duties in a law firm or professional service organization
  • Associate’s or Bachelor’s degree preferred; high school diploma is required
  • Proficient in Microsoft Office and Adobe Acrobat, with a strong ability to learn and adapt to new software applications quickly and efficiently
  • Experience with document management system, FileSite preferred
  • Excellent communication skills, both written and verbal
  • Excellent organizational skills and attention to detail
  • Ability to work harmoniously and effectively with others as part of a team
  • Strong work ethic and positive attitude, with flexibility to work overtime as needed
  • Exercises confidentiality and discretion in a professional and trustworthy manner
  • Self-starter who takes initiative and has willingness to learn

Employees are entitled to compensation commensurate with skill and experience. The full time base annual salary for this position in the Los Angeles market is expected to range between $85,000 and $100,000.  This range represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting for a position in Los Angeles.  Salaries in other markets will vary depending on market data. Bonus opportunities are non-guaranteed and are dependent upon individual and firm performance.
